Privacy policy

This page explains what personal information I collect, why, who else handles it, and what you can ask me to do with it.

I am responsible for the personal information described here, and I am the person to contact about it: suzanabrowncoaching@gmail.com

1. What I collect

When you buy a session

  • Your name, email address and phone number.

  • The service you bought, the date, and the amount paid.

  • Your payment is processed through Squarespace. I never see or store your full card number.

When you write or call

  • Whatever you tell me by email, message or phone, and your contact details.

When we work together

  • Brief notes I keep about our sessions, so that I can do the work properly.

  • Messages we exchange between sessions.

When someone buys a session for you

  • The buyer gives me your name and email address so that I can reach you. I use them only for that.

When you visit this website

  • This site is hosted by Squarespace, which keeps standard technical logs, such as IP addresses, for security.

  • Squarespace sets cookies the site and checkout need in order to work, and may collect basic visitor statistics.

  • The site does not use advertising cookies.

2. Why I collect it

  • To arrange and deliver coaching sessions.

  • To take payment and keep the records the law requires.

  • To answer you when you contact me.

  • To meet legal and tax obligations.

I do not use your information for anything else. I do not sell it, rent it or trade it. I do not send marketing emails.

3. What you tell me in a session

What you say in a session stays between us, as set out in the Coaching Agreement.

  • Only I read my session notes.

  • I do not share what you tell me with anyone without your written permission, unless the law requires it or I reasonably believe there is a serious and imminent risk of harm to you or to someone else.

  • If a professional referred you to me, they are told nothing, including whether we have spoken, unless you give me written permission.

  • Nothing you tell me in a session is entered into an AI tool.

  • Sessions are not recorded without your consent.

4. Who else handles your information

I use two service providers to run the practice. They handle your information only to provide their service to me.

  • Squarespace runs this website, the checkout and payment. Your card details go to Squarespace and its payment processor, not to me.

  • Google (Gmail) for email.

Appointments are arranged with me directly, by email or phone.

Both companies store information outside Canada, mainly in the United States. Information held there is subject to the laws of that country.

5. How long I keep it

  • Session notes and messages: two years after our last session, then deleted.

  • Payment and purchase records: six years, as tax law requires.

  • Enquiries that do not lead to a session: one year, then deleted.

6. How I protect it

  • Accounts that hold your information are protected with strong passwords and two-step sign-in.

  • Session notes are kept where only I can reach them.

  • If your information is ever lost or accessed by someone who should not have it, and that creates a real risk of harm to you, I will tell you promptly.

7. Your choices

You can ask me at any time to:

  • show you the personal information I hold about you;

  • correct it if it is wrong;

  • stop using it, or delete it, where the law allows. Some records, such as payment records, must be kept.

Write to suzanabrowncoaching@gmail.com I will answer within 10 business days.

If you withdraw your consent to my using your information, I may not be able to keep working with you. I will tell you if that is the case.

8. Complaints

If you are unhappy with how I have handled your information, please tell me first.

You may also contact the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca.

9. Changes to this page

If this policy changes, the new version is posted here with a new date.
